How to report scholarships, loans, or other financial assistance from outside sources

During your journey in applying to colleges, you might have also put your name in the hat for a few academic or civic scholarships. If you have received a scholarship, loan, or other type of financial assistance outside of Virginia Tech's formal aid process, we ask that you report it to the university.

Why do I have to report funds provided by outside sources to Virginia Tech?

  1. It's the law. Federal and state regulations require students to report any scholarship, grant, or special teacher rate, or other outside assistance received at any time during the academic year.
  2. The Office of the University Bursar needs to know about the outside assistance to credit your account appropriately. To find out whether your outside aid has already been included in your Financial Aid Award, visit HokieSpa.

How do I report funds from outside sources?

  1. Request any outside payments be made payable to the "Treasurer of Virginia Tech."
  2. Complete the Scholarship Reporting Form (PDF).
  3. If the payment from the sponsor is being sent directly to you, please indicate that on the Scholarship Reporting Form and make payment to the Office of the University Bursar by the appropriate deadline.
  4. Send the completed form, a copy of the award letter, and the check to Office of the University Bursar, 150 Student Services Building, Blacksburg, VA, 24061 by July 1 for credit toward the fall semester and/or by December 1 for credit toward the spring semester.
